Communication Expectations

Purpose

This Communication Expectation Policy establishes clear guidelines for all engaged parties (staff, families, community members) to communicate effectively, respectfully, and professionally. It also outlines a framework for addressing conflicts or grievances in a healthy, productive manner. The goal is to ensure a positive, collaborative environment that benefits staff and students.

General Communication Guidelines

All engaged participants communication, whether in person, written, or electronic, should reflect the following principles:

Respect: Every interaction must be courteous, kind, and respectful of others' time and responsibilities.
Professionalism: Expected to communicate professionally, focusing on constructive and solution-oriented language.
Clarity and Transparency: Messages should be clear, concise, and transparent, ensuring that information is easily understood and leaves little room for ambiguity.
Timeliness: Timely communication helps maintain productivity and responsiveness. Staff should aim to respond to emails and other communication within 48 hours during the work week unless otherwise agreed upon or in exceptional circumstances.

Conflict Resolution and Grievance Process

When conflicts or grievances arise, they should be approached thoughtfully and respectfully. This process encourages open, honest communication aimed at finding solutions and maintaining positive relationships.

Steps for Conflict Resolution:

Direct Communication

Initial Step: You are encouraged to address concerns directly with the person(s) involved in a respectful, one-on-one conversation. If preferred, communication may be initiated through email.
Mindfulness of Timing: Schedule a time for this discussion that works well for both parties, avoiding interrupting teaching or administrative duties.
Active Listening: All parties should actively listen without interruption to understand the other person’s perspective fully. This builds mutual respect and a better foundation for finding solutions.
Collaboration: Work together to identify the problem, acknowledge feelings, and brainstorm possible solutions. The goal is to find a mutually agreeable path forward.

Seek Mediation if Needed

If direct communication does not resolve the conflict, you may seek assistance from a third party, such as an Instructional Coach, Department Head, or School Counselor. Mediation sessions should be scheduled for focused discussion with an impartial facilitator.

Escalation to Administration

If the conflict persists or is particularly sensitive, you may bring the matter to the school administration. The administration will work to resolve the issue fairly, maintaining confidentiality and ensuring all parties are heard.

Expectations for Difficult Conversations

Accountability

Failure to adhere to this policy may result in a follow-up from the administration to discuss ways to improve communication and align with these expectations. Continuous disregard for these guidelines may lead to additional action.

Formal Written Warning

Documenting the issue and outlining expectations for future communication.

Restricted Communication

Limiting contact to specific times or methods (e.g., email only) ensures all parties can communicate effectively and professionally.

Communication Designee

Limiting contact/communication to specific GVA personnel as designated by the Administration.

Ban Notice

Such as limited accessibility to school staff (in the case of parent, guardian and/or family members)

Legal Action

If the behavior escalates to harassment, the school may involve legal counsel to ensure the safety and well-being of staff and students.
